Workable limitations: why HR teams are looking for alternatives

Workable is one of the most popular ATSs on the market, with over 27,000 companies using it globally. It offers publication on 200+ job boards, an AI assistant and a relatively intuitive interface. But in 2026, an increasing number of users face limitations that lead them to explore alternatives.

Pricing based on headcount penalizes growth.Workable uses a pricing model based on the total number of employees in the company, not on the number of active jobs or recruiters. The Starter plan costs $249/month, Standard $349/month, and Premier reaches $679/month. Problem? As the company grows and hires more people, Workable's bill grows proportionally - even if the recruitment volume remains constant. A company that grows from 100 to 200 employees may see a doubling of its bill without any additional benefit.

File management is problematic. This is perhaps the most common complaint in Workable reviews. Approximate90% of the negative reviews on G2 and Capterramentions problems with file management: CVs that do not load correctly, documents that are lost in the system, parsing of CVs that frequently fails and difficulties in organizing and retrieving candidate documents. For an HR team that processes tens or hundreds of CVs daily, this problem is critical.

Customization is limited.Although Workable offers a recruitment pipeline with predefined stages, the possibilities for customization are more limited than with competitors. Automatic workflows are only available on premium plans, and custom fields are limited. If your recruitment process does not fit into Workable's standard patterns, you will be forced to adapt to the platform instead of the platform adapting to you.

The scoring AI is criticized as inaccurate.Workable offers an AI candidate scoring system, but reviews indicate that the score does not always reflect reality. Candidates with relevant experience receive low scores, and unsuitable candidates may receive high scores. This inconsistency undermines the team's confidence in the system and leads to a return to manual screening.

The reports are lagging behind. The Workable reporting module offers basic metrics (time-to-hire, source of candidates), but does not allow advanced custom reports. Data export is limited, and visualizations are not at the level of expectations of data-driven teams. Compared to Greenhouse or Lever, Workable's reporting is considered insufficient.

Workable merita inca?

Workable remains a decent choice for mid-market companies that prioritize publishing on as many platforms as possible (200+) and don't need advanced AI or deep customization. But if you're facing the above problems - rising price, problematic files, inaccurate AI - it's time to explore alternatives. The 7 solutions below solve each of these limitations.

1. Treegarden - Transparent price and precise AI

Treegarden is an ATS developed in Romania that solves exactly the main problems of Workable: the price is transparent and predictable (does not increase with the number of employees), AI Match Score offers precise scoring based on real semantic analysis (not on simple keyword matching), and file management is robust - with mass upload of up to 50 CVs simultaneously and reliable automatic parsing.

What does Treegarden solve compared to Workable

Workable problem #1 (price based on headcount): Treegarden has a transparent price, it does not increase with the number of employees. Problem #2 (file management): Treegarden offers mass upload of 50 CVs with robust automatic parsing. Problem #3 (Inaccurate AI): AI Match Score uses advanced semantic analysis for accurate scoring. Problem #4 (limited customization): Fully customizable Kanban pipeline with custom stages, fields and workflows. Bonus: native eJobs and BestJobs integrations (not available in Workable), native GDPR, support in Romanian.

Pret:Transparent, no implementation fee.Best for:European and Romanian companies that want a smarter and more reliable ATS than Workable.Key advantage over Workable:More accurate AI, superior file management, local integrations, predictable price.Limitare:It still doesn't have 200+ job boards like Workable (but it covers the major Romanian and international platforms).

2-3. Enterprise alternatives: Greenhouse and Lever

2. Greenhouse - Structured recruitment at enterprise level

If you exceed the needs of Workable and are ready to invest significantly, Greenhouse is the classic upgrade. It offers best-in-class structured recruitment with detailed scorecards, 400+ integrations and complex workflows. But it comes with a hefty price tag: $6,000-$70,000/year, plus a $1,000 implementation fee.

Advantage over Workable:Much more advanced reports, structured scorecards, vast ecosystem of integrations.Limitare:The price is 2-10x higher than Workable, 4-8 week implementation, steep learning curve. It doesn't solve the price problem - it makes it worse.

3. Lever - CRM + ATS for long-term relationship with candidates

Lever differentiates itself from Workable by combining the ATS with a recruitment CRM. If your problem with Workable is that you lose good candidates after the recruitment process ends, Lever solves that - you can keep in touch and nurture candidates for future positions. AI Interview Companion and Talent Fit engine are superior to Workable AI.

Advantage over Workable:Integrated CRM, more advanced AI (Interview Companion, Talent Fit).Limitare:Similar price or higher ($12,000-$72,000/year), no public prices, limited boolean search.

4-5. Accessible alternatives: JazzHR and Breezy HR

4. JazzHR - The most affordable ATS on the market

If your main frustration with the Workable is the price, the JazzHR is the perfect antithesis. At only $75/month for the Hero plan, it offers a functional ATS with job posting, candidate tracking, visual pipeline and automated emails. It has no AI, the reports are basic and the interface is dated, but it does the job at 30% of the cost of Workable.

Pret: $75 - $269/luna. Advantage over Workable:3x cheaper, no model based on headcount, quick setup.Limitare:No AI, limited reports, doesn't scale well over 50 hires per year, dated interface.

5. Recruitee (Tellent) - European focus and GDPR

Recruitee is an ATS built in Europe with native GDPR and focus on the European market. It offers a modern career page builder, internal referral system and solid multiplatform publishing. It is a good alternative for European companies that find Workable too American-centric.

Pret: $269 - $479/luna. Advantage over Workable: GDPR nativ (nu add-on), career page builder superior, focus european. Limitare:Similar price to Workable, without integrations with Romanian platforms, basic AI.

Comparative table of prices vs Workable

Workable: $249-$679/month (increases with headcount) | Treegarden: transparent, fixed price | Greenhouse: $6,000-$70,000/year | Leverage: $12,000-$72,000/year | JazzHR: $75-$269/month | Recruitee: $269-$479/month | Breezy HR: Free - $399/month | Zoho Recruit: $25-$50/user/month. Conclusion: JazzHR and Zoho Recruit are the cheapest, but Treegarden offers the best functionality/price ratio.

6-7. Niche alternatives: Breezy HR and Zoho Recruit

6. Breezy HR - Free plan with unlimited users

Breezy HR offers two things that Workable does not: a free plan and unlimited users on all paid plans. The free plan includes an active job, visual pipeline and basic functionalities - enough for a small company. Paid plans ($189-$399/month) add automation, multiplatform publishing and interview scheduling.

What makes Breezy HR interesting is the unlimited users model. At Workable, every recruiter or hiring manager who needs access means an additional cost. At Breezy HR, you can add the entire recruitment team without impacting the invoice - a significant advantage for companies with multiple hiring managers.

Pret: Gratuit (1 job) / $189 - $399/luna. Advantage over Workable:Free plan, unlimited users, more predictable price.Limitare:Advanced functionalities only on the Premium plan ($399/month), limited support for free, without integrations with Romanian platforms.

7. Zoho Recruit - The cheapest paid ATS

Zoho Recruit is part of the Zoho ecosystem and offers a functional ATS at the lowest price on the market: $25/user/month for the Standard plan. If you already use Zoho CRM, Zoho People or other Zoho products, native integration is a major advantage. Includes CV parsing, posting on job boards and a basic pipeline.

The weak point of Zoho Recruit is the user experience. The interface is crowded, with too many options visible at once, and the learning curve is steeper than with Workable. The AI is basic, and the technical support works mainly by email, with response times of 24-48 hours.

Pret: $25 - $50/user/luna. Advantage over Workable:10x cheaper, Zoho ecosystem integration.Limitare:Cluttered interface, basic AI, slow support, inferior Workable UX.

Functionality comparison: the 7 alternatives vs Workable

To facilitate the decision, we compared the 7 alternatives on the criteria that matter most when migrating from Workable: price, AI, file management, customization, integrations and GDPR.

Gestionarea fisierelor (problema #1 Workable):Treegarden completely solves this problem with mass upload of 50 CVs and reliable automatic parsing. Greenhouse and Lever have solid document management. JazzHR, Breezy HR and Zoho Recruit have basic functionalities. Recruitee offers decent document management with a focus on GDPR compliance.

AI and candidate scoring (issue #2 Workable):Treegarden (AI Match Score semantic) and Lever (AI Interview Companion + Talent Fit) offer the most advanced and accurate AI on the list. Greenhouse offers structured scoring but without actual AI. JazzHR, Breezy HR and Recruitee have no significant AI. Zoho Recruit has AI at its core.

Pret predictibil (problema #3 Workable):Treegarden, JazzHR, Breezy HR and Zoho Recruit have fixed prices that do not increase with the number of employees. Greenhouse, Lever and Recruitee have prices that vary depending on the size of the company.

Integrations with Romanian platforms:Only Treegarden offers native integrations with eJobs and BestJobs. Workable offers integrations with international platforms, but not with local Romanian ones - a significant limitation if your main recruitment market is Romania.

Recomandarea noastra

If you are a company from Romania or Europe and you are dissatisfied with Workable, Treegarden is the smart choice: it solves all three main problems (price, file management, AI), adds local integrations impossible with Workable and offers native GDPR. If you are in the US and want an upgrade, Lever offers advanced CRM + AI. If you just want to pay less, JazzHR ($75/month) or Zoho Recruit ($25/user/month) are the most affordable options.

Practical migration guide from Workable

If you have decided to change Workable, here is a practical guide for a smooth migration, without data loss or interruptions in the recruitment process.

Step 1: Export data before cancellation.Workable offers data export in CSV format, but the functionality is limited. Export: list of candidates with all details, grades and evaluations, communication history and relevant reports. Do this at least 2 weeks before canceling the subscription.

Step 2: Configure the new ATS in parallel.Do not cancel Workable until the new ATS is fully configured and tested. Create the pipeline, configure automatic emails, set permissions and import data. Most platforms (Treegarden, Greenhouse, Lever) offer migration assistance.

Pasul 3: Ruleaza ambele sisteme 1-2 saptamani.Publish the new jobs in the new ATS, but keep the active candidates in Workable until the current processes are completed. This parallel approach prevents the loss of candidates in transition.

Pasul 4: Instruieste echipa. The most common reason for ATS migration failure is not technical - it's human. Organize training sessions, create quick guides and appoint an internal "champion" to help the team during the transition period.

Step 5: Cancel Workable and check. After all active processes have migrated, cancel your Workable subscription. Check once again that all the data is in the new system and that no active candidate was lost in the transition.
