What can employees update themselves, and what requires HR approval?
Employees can update personal contact information, emergency contacts and communication preferences without HR involvement. Updates to payroll-relevant fields (bank account, tax code, employment status) trigger an HR notification and require confirmation before processing. All changes are logged with a timestamp and the employee's user ID.
Is the self-service portal mobile-friendly?
Yes. The portal is fully responsive and works on any modern mobile browser. Employees can submit leave requests, access their HR documents and update their information from their phone without needing to download an app.
Can employees see all their HR information?
Employees can see personal information, leave balances and history, performance reviews they have been party to, their own HR documents, enrolled benefits and company documents published to their library. They cannot see other employees' data, salary information for their peers or HR notes that are marked as internal.
What HR documents can employees access?
Employees can access HR documents assigned to their profile by HR — signed contracts, offer letters, policy acknowledgements, onboarding materials, disciplinary letters and any other uploaded documents. Document access is logged for audit purposes. Employees receive in-app notifications when new documents are added to their record.
Can managers access self-service data for their direct reports?
Managers have a separate manager view that shows their direct reports' leave requests (for approval), absence patterns and performance review status. Managers do not have access to direct report HR documents, detailed personal information or HR notes unless explicitly granted by HR.
Does the portal support GDPR data subject access requests?
Yes. When an employee submits a data subject access request under GDPR, HR can generate a complete export of that employee's personal data from Treegarden — including their HR record, leave history, performance reviews, document acknowledgements and any other data held. The export is produced in a machine-readable format within the GDPR 30-day response window.
